Unit's Admin : Dhilal Adnan Abdul Majeed Duties of the Citizens' Affairs Unit at the College of Applied Sciences - Heet : The Citizens' Affairs Unit serves as a direct channel of communication between the college and the community, aiming to improve services provided and ensure positive interaction with citizens. The following are the most prominent duties of this unit: 1 - Receiving Requests and Complaints : • Receive complaints from citizens (students, staff, parents, and visitors) related to services or activities at the college. • Record and document complaints and requests in designated records. 2 - Handling Complaints and Resolving Problems : • Studying complaints and verifying their validity. • Referring complaints to relevant authorities within the college and following up on their resolution. • Providing appropriate solutions to ensure citizen satisfaction. 3 - Communication with Administrative Authorities : • Coordinating with the college administration and various departments to process incoming requests. • Following up on the implementation of decisions related to resolving problems or improving services. 4 - Raising Awareness of Services and Procedures : • Providing clear information about college procedures, such as registration, submitting applications, obtaining official documents, etc. • Preparing brochures or publications explaining the services provided and the procedures for obtaining them. 5 - Organizing Meetings and Events : Organizing periodic meetings between the college administration and citizens (such as parents and students) to discuss relevant issues. Hosting events aimed at enhancing trust between the college and the local community. 6 - Managing Citizen Satisfaction Surveys : • Preparing surveys to assess citizen satisfaction with the services provided at the college. • Analyzing the survey results and submitting reports to the administration, including recommendations for improving performance. 7 - Reporting Violations : • Receiving reports of any violations or transgressions at the college. • Referring violations to the relevant authorities at the college and following up on corrective actions. 8 - Improving Services Provided : • Proposing improvements to services based on citizen feedback. • Following up on the implementation of performance improvement plans and ensuring the provision of better services. 9 - Communicating with the Local Community : • Representing the college in community meetings to enhance cooperation between the college and the local community. • Receiving community feedback on the college's role and services. 10 - Preparing Periodic Reports : • Preparing periodic reports on the unit's activities, complaints received, and how they were handled. • Submitting reports to the college administration, including unit challenges and proposals for improving performance. 11 - Ensuring Transparency and Credibility : • Dealing with citizens in a transparent and impartial manner.
